AI Receptionist for healthcare
An AI receptionist for medical practices, with the right guardrails.
Handle approved administrative enquiries, capture actionable callbacks and book approved appointment types, while clinical questions and anything urgent go to your people. Healthcare-specific privacy, safety and escalation controls are part of every set-up.
In short
A medical-practice AI receptionist answers calls your front desk cannot take, such as peaks, lunch breaks and after hours. It captures the caller's details, answers approved administrative questions and books approved appointment types. It never diagnoses, recommends treatment or replaces clinical judgement.
Access to patient identity and existing bookings requires separately approved controls. We do not switch it on by default.
- Administrative only: no diagnosis, no clinical advice, no replacement for clinical judgement.
- Urgent and emergency call handling is agreed with you in advance and written into the set-up.
- Patient identity checks and access to existing bookings need separately approved controls.
- From A$590 a month, with a 14-day pilot and no management fee.

What a front desk can hand over
- Answering calls during peaks, breaks and after hours.
- Capturing name, number, reason for calling and preferred callback time.
- Approved administrative answers: opening hours, location, parking, what to bring and how to book.
- Booking approved appointment types where you choose to allow it.
- Sending your team a structured callback request so nobody is left on hold or lost to voicemail.
Safety and escalation come first
Healthcare calls can be urgent. Before go-live we agree with you how urgent and emergency calls are handled, including when callers are directed to 000 or to your on-call arrangements, and we test those paths.
The receptionist does not diagnose, recommend treatment or answer clinical questions. When a caller asks for something outside its scope, it records the request and passes it to your team.
Privacy and health information
Health information is sensitive information under the Privacy Act 1988, and your practice remains responsible for its privacy obligations. We scope what the receptionist can see and do, keep it to the minimum the job needs and set that out in writing.
We do not claim certification we do not hold. Integration with practice-management software is scoped case by case and is never assumed.
Who it suits
General practices, allied-health clinics, specialists and similar practices where phones are busy and front-desk time is stretched. It works best when the tasks you want to hand over are administrative and repeatable.
How it works

Talk it through
A free 30-minute conversation with Alban about your calls, your team and what a good outcome looks like. No obligation.
- 02
Agree the rules
We set the services, areas, hours, approved answers and escalation rules the receptionist works within. Anything outside them goes to your team.
- 03
Run a 14-day live pilot
Your first 14 live days carry no management fee. You pay actual call usage at cost, so you can judge it on real calls.
- 04
Keep, adjust or stop
Choose the plan that fits what the pilot showed. Each month we review calls, fix what needs fixing and report what happened.

- All prices are in Australian dollars. Excelsior AI is not currently registered for GST.
- Each plan includes a monthly allowance of voice minutes. Extra minutes are A$0.35 each.
- There is no separate set-up fee; implementation is covered by the monthly fee. Initial terms run 6 to 12 months depending on the plan, then month to month.
- The top plan carries an outcome guarantee: if fewer than 80% of eligible calls produce a useful outcome in a month (with at least 30 eligible calls), the following month's management fee is credited, up to twice in a 12-month term. Full terms are in the written agreement.

FAQ
Questions.
Does the AI receptionist give medical advice?
No. It handles administrative enquiries only. It does not diagnose, recommend treatment or replace clinical judgement.
What happens if a caller has an emergency?
We agree urgent and emergency handling with you before go-live, including when callers are directed to 000 or to on-call arrangements, and we test it.
Can it access patient records or existing bookings?
Not by default. Identity checks and access to existing bookings require separately approved controls, scoped to your practice and your systems.
Does it work with our practice-management software?
Integration is scoped case by case. We check permissions, data quality and licensing before promising any connection.
Is it compliant with the Privacy Act?
Your practice remains responsible for its privacy obligations. We design the receptionist to access only what the job needs and document that, but we do not claim certification we do not hold.
How much does it cost?
Healthcare plans start at A$590 a month. Your first 14 live days carry no management fee, and you pay actual call usage at cost.
