How to prepare your business for AI.

The businesses getting real value from AI didn't start by buying AI. They started with foundations boring enough that nobody writes headlines about them. Here they are.

1. Write down how work actually flows

AI (and automation generally) amplifies process. If the process lives in people's heads and runs differently every time, there's nothing stable to amplify. A one-page map per key workflow — how enquiries, quotes and jobs move — is worth more than any tool subscription.

2. Get your data where tools can reach it

AI can't summarise emails it can't see or update records that don't exist. Consolidate: one place where client records live, one where jobs live, sensible naming in your document storage. Microsoft 365 or Google Workspace, properly organised, is a perfectly good foundation for most small businesses.

3. Standardise the repeating messages

Collect your best versions of the emails you send over and over — enquiry replies, quote covers, follow-ups, review requests. These become templates today and AI drafting material tomorrow, in your voice instead of a generic one.

4. Decide your human-approval rules early

Before automating anything, decide what always needs human sign-off: customer-facing messages, quotes, anything involving money or reputation. Writing these rules first means every automation is designed around control rather than retrofitted with it.

5. Fix one bottleneck before buying anything

Preparation is finished when one real workflow runs measurably better. Pick the slowest, most annoying workflow and fix it — with or without AI.
